If you want to add a paper after the deadline to add papers has passed, you will need approval from the relevant department. Approval of late paper addition is at the discretion of the department. Exceptional circumstances will be taken into consideration, and may include:

  • Illness supported by a medical certificate
  • A change in eligibility to take the paper, including late exam results
  • Exceptional life circumstances leading to the late request

How you apply for late paper addition depends on the date of your application:

If you are applying prior to the last day to delete, you will need to apply in eVision by using the Special Permission function, which will escalate the request to the relevant department for approval.

After the last day to delete papers

Contact the teaching department for the paper to discuss your request.

Then complete the student section of the Late Paper Addition form and email it from your student email address to the department.

If you are permitted to add the paper, the Head of Department (HOD) will complete the form and will email this to your student email address. For the declaration section of the form to be confirmed you will then need to forward this from your student email address to Student Administration at enrolment@otago.ac.nz

Changing papers—deadlines

Students who have submitted a request for Late Paper Addition and are waiting for processing should ensure they are attending lectures/labs.

AskOtago staff should do the following for any students asking about adding papers after the last day to add:

  1. Advise the student that they have missed the deadline to add the paper, and will only be able to add it at the HOD’s discretion if they:
    • Are given special consideration that changes their eligibility to take a paper
    • Receive exam results late and do end up eligible to take a paper
    • Are experiencing exceptional life circumstances that led to the late request
  2. Advise them that if they are adding and deleting/making other changes they need to complete a change of course request in eVision:
    • Before the deadline for paper deletion: in eVision, though the Special Permission area: this can be accessed either from the Changing your Course area for those who are course declared, or in Paper Selection if they are still in the enrolment phase.     • After the deadline for paper deletion: through the academic department directly – the electronic Late Paper Addition form should be completed by the Head of Department and emailed from the student’s University email to Course Management at enrolment@otago.ac.nz
  3. Students can also be advised to email the Paper Contact listed on the Paper Outline to request access to material located on Blackboard or other University systems that they may not have access to, to avoid falling further behind. Special Permission can be accessed either from the Changing your Course area for those who are course declared, or in Paper Selection if they are still in the enrolment phase.
